This role will Provides day-to-day administrative, project controls, and quality support to the PMO Lead in managing the capital project portfolio. The role supports project intake, Smartsheet administration, project documentation, reporting, data quality, and compliance with established PMO processes and the project delivery playbook.

About the Role:
- Support the PMO Lead with day-to-day administration and coordination of the project portfolio.
- Maintain Smartsheet project trackers, dashboards, project data, milestones, and reporting information.
- Coordinate the project intake process, including collection of required information, documentation, approvals, and project setup.
- Maintain organized and complete project records, including scope, budget, schedule, approvals, risks, changes, and closeout documentation.
- Review project information and documentation for completeness, consistency, and compliance with PMO standards and required stage gates.
- Support collection and validation of Project Manager status updates and follow up on missing or incomplete information.
- Maintain KPI tracking, compliance scorecards, risk/issue logs, and other PMO reporting tools.
- Support PM onboarding by maintaining templates, process documentation, reporting requirements, and project delivery resources.
- Assist the PMO Lead with project closeout reviews, lessons learned, and continuous improvement initiatives.
- Provide additional coordination, reporting, documentation, and administrative support to the PMO Lead as needed.
Key Deliverables
Smartsheet portfolio tracking and dashboards; project intake tracking; organized project documentation; project status and data quality reviews; KPI/compliance tracking; risk and issue logs; stage-gate tracking; closeout documentation; PMO templates and reporting support.
About You:
- 2–5 years of experience in project coordination, PMO support, project controls, quality assurance, or a related role.
- Strong organizational skills and attention to detail, with the ability to manage information across multiple concurrent projects.
- Strong working knowledge of Smartsheet, Excel, and project reporting tools.
- Understanding of project lifecycle, documentation, budget, schedule, risk, and reporting processes.
- Strong written and verbal communication skills.
- Corporate real estate or multi-site capital project experience preferred.
Role Scope
This is a portfolio-wide PMO support role working directly with the PMO Lead. The Quality Control Analyst supports the administration, organization, tracking, reporting, and quality control of the program.
