Job Description – MIS Executive Facility

Key Responsibilities

Invoice Processing & Billing

  • Manage end‑to‑end invoice processing for internal teams and external vendors.
  • Verify, validate, and process Facilities vendor bills while ensuring accuracy and timely payments.
  • Handle billing discrepancies and maintain updated billing databases.
  • Share monthly/quarterly billing details with vendors and track acknowledgment and payment status.

Budget Tracking & Financial Reporting

  • Track and maintain monthly, quarterly, and yearly budgets.
  • Prepare variance and utilization reports for management.
  • Maintain financial trackers and assist in forecasting.

Penalty & Compliance Tracking

  • Track vendor penalties based on service deviations as per PO & Contact T&C’s and SLA breaches.
  • Calculate penalty amounts and prepare penalty reports for vendors and management.
  • Maintain and update the all compliance tracker.
  • Validation of Statutory compliance documents (PF, ESIC, insurance, wages and others ect.)
  • Coordinate with vendors to close compliance gaps.

MIS Reporting & Documentation

  • Prepare daily/weekly/monthly MIS reports and dashboards.
  • Maintain documentation, update trackers, and ensure audit‑ready records.
  • Share reports and insights with management on time.

PPT & Presentation Development

  • Create professional PowerPoint presentations for meetings and reviews.
  • Convert complex data into visually clear and simple summaries.

Vendor Management & Coordination

  • Coordinate with all registered vendors for billing, compliance, penalties, and documentation.
