Job Description Summary

Support the day-to-day facilities, workplace, and front-of-house operations of a multinational corporate office in Ho Chi Minh City. This hands-on role combines Facilities Coordination with reception and office support responsibilities, ensuring employees and visitors experience a safe, efficient, welcoming, and well-maintained workplace. Working closely with the Facility Manager, employees, building management, vendors, and service partners, you will coordinate workplace services, facilities requirements, procurement and administration while serving as a professional first point of contact for visitors and workplace enquiries.

Job Description

About the Role:

  • Coordinate day-to-day facilities and workplace operations, including office maintenance, utilities, security and parking requirements, workplace services, seating and workstation arrangements, pantry and office supplies, and employee requests, working closely with building management and service providers.
  • Deliver professional reception and front-of-house support, welcoming visitors, managing incoming calls and general enquiries, coordinating meeting and training room readiness, guest refreshments, courier and delivery requirements, and maintaining a professional workplace environment.
  • Coordinate vendors and service providers, including sourcing suppliers and quotations, monitoring service quality, maintaining vendor information and service agreements, and following up on maintenance, housekeeping, workplace services, and other operational requirements.
  • Support procurement and facilities administration, including purchase requests, invoices and payment coordination, contracts, expense tracking, workplace records, inventory, operational reports, and other documentation required for effective office operations.
  • Support the wider employee and workplace experience through internal meetings, events and office activities, onboarding and workstation arrangements, employee requests, and day-to-day problem solving while partnering with the Facility Manager and relevant stakeholders to continuously improve service delivery.

About You:

  • Diploma or Bachelor's degree in Business Administration, Facilities Management, Hospitality Management, Office Administration, or a related discipline.
  • Ideally 2–4 years of experience in Facilities Coordination, Office Administration, General Affairs, Workplace Operations, Corporate Reception, or a similar role combining workplace operations and employee-facing responsibilities.
  • Practical experience supporting facilities and office operations, including vendor coordination, building management, procurement, invoices or payments, office supplies, meeting rooms, workplace services, and general administrative processes.
  • Strong customer-service and communication skills, with a professional and approachable manner when supporting employees and visitors, combined with a proactive, organized, hands-on approach to resolving day-to-day workplace issues.
  • Good written and verbal communication skills in Vietnamese and English, with proficiency in Microsoft Office; experience with procurement, payment, ERP or facilities systems such as SAP is advantageous.
