Job Description Summary

The Property Administrator will be responsible for handling all aspects of the daily Accounts Receivable functions for a Shopping Centre, related banking functions, month-end and year-end financial reporting. The ideal candidate is a strong communicator with excellent analytical and problem-solving skills. The Property Administrator will perform at the highest of ethical standards, reflecting the core values of C&W as defined in its Business Code of Conduct, Policies and Procedures Manual, and other related company policies.

Job Description

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

•Manage the collection of tenant receivables and accurately record transactions in the Yardi accountingsystem

•Follow up with delinquent tenants and provide weekly arrears reports to the Property Manager

•Prepare Tenant Statements of Account and Rental Notices

•Complete percentage rent calculations and tenant chargebacks, ensuring the timely distribution ofinvoices to tenants

•Process and maintain accounting documentation required for input into Yardi

•Review and reconcile the Rent Roll monthly

•Maintain tenant account records and perform tenant account reconciliations

•Administer tenant sales reporting by collecting monthly and audited sales information, ensuring tenantcompliance with reporting requirements, maintaining sales records in Yardi, and distributing salessummary reports

•Prepare correspondence related to tenant accounts, billings, and collections

•Coordinate the preparation and distribution of annual tenant adjustment billings and ensure accuracy

•Set up new tenants and ensure all related documentation is completed and accurately maintained,including security deposits, post-dated cheques, Tenant Rental Notices, and lease administrationrecords

•Assist with lease administration, including lease abstracts, critical dates, renewals, amendments, andtenant correspondence

•Assist with budget preparation, forecasting, and monthly reporting requirements

•Respond to tenant inquiries and provide a high level of customer service

•Maintain organized tenant and property files

•Liaise with tenants, contractors, vendors, and internal departments to support the day-to-day operationsof the shopping center

•Complete other duties and special projects as assigned by the Property Manager and/or GeneralManager

KEY COMPETENCIES

• Strong Communication and Organizational Skills

• Basic bookkeeping and record keeping skills

• Proficient with Microsoft Office Suite (Word, Outlook, EXCEL and SharePoint) and/or related accounting software programs, etc.). Previous experience with Yardi an asset.

• Excellent inter-personal skills

• Excellent written and verbal communication skills

• Be self-motivated, diplomatic and able to work independently

• Ability to prioritize time sensitive and, at times, heavy workload

• Flexibility to meet tight deadlines, requiring additional hours as necessary

IMPORTANT EXPERIENCE

• Accounting Experience – preferred 3-5 years’ experience in accounts Receivable

• Knowledge of commercial/office/retail property management industry would be considered a definite asset.

• College or University degree in Accounting or a related field is ideal but not required

• Experience in Yardi is a definite asset.

ADDITIONAL ELIGIBILITY QUALIFICATIONS

• Must be able to provide Criminal Clearance Certificate

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets

This posting is for a backfill position.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $ 52,360.00 - $61,600.00
