Assistant Facility Manager - Soft Services

Job Description Summary

To manage and ensure effective day-to-day delivery of soft facility services, maintaining high standards of cleanliness, hygiene, workplace experience, safety, and employee satisfaction. The role will oversee service partners, monitor performance against SLAs/KPIs, drive continuous improvement, and ensure compliance with company and statutory requirements.

Job Description

Key Responsibilities

Housekeeping & Workplace Hygiene

  • Manage day-to-day housekeeping operations across office and common areas.
  • Ensure defined cleaning standards, hygiene levels, and service frequencies are maintained.
  • Conduct regular floor inspections and address service gaps proactively.
  • Monitor washrooms, pantries, meeting rooms, cafeteria, common areas, and high-traffic zones.
  • Ensure availability of housekeeping consumables and cleaning materials.
  • Drive periodic deep cleaning, pest control, façade cleaning, carpet cleaning, and other specialist services.

Vendor & Contract Management

  • Manage housekeeping, pantry, cafeteria, pest control, waste management, landscaping, and other soft-service vendors.
  • Monitor vendor manpower deployment, attendance, grooming, training, and productivity.
  • Track SLA/KPI performance and initiate corrective actions for service deviations.
  • Conduct regular vendor review meetings and maintain performance records.
  • Support contract renewals, scope changes, service improvement initiatives, and vendor evaluations.

Employee Experience & Workplace Services

  • Ensure a clean, safe, hygienic, and welcoming workplace environment.
  • Coordinate employee requests and complaints related to soft services.
  • Monitor feedback and implement corrective/improvement actions.
  • Support workplace events, employee engagement activities, and special requirements.
  • Coordinate seating moves, office transitions, and other workplace activities from a soft-services perspective.

Cafeteria & Pantry Operations

  • Monitor cafeteria and pantry services to ensure hygiene, food quality, service standards, and availability.
  • Coordinate with food vendors on menu, service quality, employee feedback, and operational issues.
  • Ensure compliance with food safety and hygiene requirements.
  • Conduct regular inspections and maintain records of observations and corrective actions.

Waste Management & Sustainability

  • Ensure proper segregation, collection, storage, and disposal of different waste streams.
  • Monitor housekeeping waste handling and vendor compliance.
  • Support sustainability initiatives such as waste reduction, recycling, and resource conservation.
  • Maintain required documentation and records for waste management activities.

Pest Control & Landscaping

  • Monitor pest-control activities and ensure scheduled treatments are completed.
  • Maintain pest-control records and close observations within agreed timelines.
  • Coordinate landscaping services and ensure required standards are maintained in external/common areas.

Compliance, Safety & Audits

  • Ensure soft-service operations comply with company policies, EHS requirements, statutory regulations, and site procedures.
  • Participate in internal/external audits and inspections.
  • Track and close audit observations within agreed timelines.
  • Ensure vendor employees follow PPE, safety, access-control, and workplace requirements.
  • Report incidents, unsafe conditions, and service-related risks promptly.

Team Management

  • Supervise and coordinate FM soft-services staff and vendor teams.
  • Ensure adequate manpower deployment as per approved staffing levels.
  • Conduct daily briefings, toolbox talks, and service reviews.
  • Identify training requirements and support capability development.
  • Monitor discipline, attendance, grooming, and conduct of service personnel.

Reporting & Documentation

  • Prepare daily/weekly/monthly operational reports.
  • Maintain checklists, inspection reports, attendance records, SLA/KPI reports, and compliance documentation.
  • Track complaints, corrective actions, and service improvement initiatives.
  • Support preparation of management dashboards and periodic performance reviews.

Budget & Procurement Support

  • Monitor soft-service operational expenses against approved budgets.
  • Support procurement of consumables, services, and operational requirements.
  • Validate vendor invoices against manpower deployment, service delivery, and contractual terms.
  • Identify opportunities for cost optimization without compromising service quality.

Qualification & Experience

  • Graduate degree/diploma in Facility Management, Hospitality, Administration, or a related field.
  • 5–8 years of experience in facilities management, workplace management, hospitality, or a similar environment.
  • Experience managing housekeeping, cafeteria/pantry, pest control, waste management, and other soft services.
  • Experience in vendor and manpower management.
  • Good knowledge of workplace hygiene, safety, and facility-management practices.
  • Good communication, coordination, reporting, and stakeholder-management skills.
  • Proficiency in MS Office/Excel and facility-management systems is preferred.
