Job Description Summary

We are seeking a Sr Associate Project Manager (APM) to support the review, validation, and reconciliation of construction and development project financials. This role will partner with project teams to review budgets, reconcile project costs, validate expenditures against client forecasts and funding, and ensure project financial records accurately reflect actual project activity. In addition to financial reconciliation responsibilities, this role will manage General Contractor (GC) project closeout activities, ensuring all required documentation is complete, accurate, fully executed, and submitted in accordance with contractual obligations. The ideal candidate has a strong understanding of construction budgets, project financial documentation, and project closeout processes, and can confidently navigate incomplete, outdated, or conflicting information to drive projects to resolution.

Job Description

Key Responsibilities

Budget Validation & Financial Reconciliation

  • Review and validate project budgets submitted by developers and project teams.
  • Reconcile project costs against client forecasts, approved budgets, funding allocations, and payments made to date.
  • Analyze project financial data to identify discrepancies, missing costs, duplicate payments, and misclassified expenses.
  • Ensure project budgets accurately reflect commitments, expenditures, forecasts, and remaining obligations.
  • Investigate projects with incomplete, outdated, or conflicting information and determine the actions required to resolve discrepancies.
  • Identify gaps in project records and obtain or validate supporting documentation needed to substantiate project costs.
  • Review and interpret supporting documentation, including:
  • o Change Orders
  • o Pay Applications
  • o Payment Draws
  • o Purchase Orders (POs)
  • o Invoices
  • o Closing Statements
  • o Contracts and other financial records
  • Partner with development, project management, accounting, and external stakeholders to resolve outstanding budget and reporting issues.
  • Document findings, recommendations, and corrective actions to establish accurate and reliable project financial records.

GC Closeout Management

  • Lead and coordinate the General Contractor closeout process for assigned projects.
  • Track and manage all required closeout deliverables to ensure timely project completion.
  • Review closeout documentation for completeness, accuracy, proper execution, and compliance with contractual requirements.
  • Ensure collection, organization, and maintenance of required closeout documents, including:
  • Final lien waivers
  • Warranty documentation
  • As-built drawings
  • Operations and maintenance manuals
  • Final affidavits
  • Closeout checklists
  • Final payment documentation
  • Other contractually required deliverables
  • Coordinate with contractors, developers, project teams, and third-party stakeholders to resolve outstanding closeout items.
  • Identify and mitigate risks that could delay project closeout or final financial reconciliation.
  • Maintain organized project records and provide status reporting on closeout progress.

Project Management & Execution

  • Manage multiple projects simultaneously while maintaining a high level of accuracy and attention to detail.
  • Prioritize work effectively in a fast-paced environment with competing deadlines.
  • Provide regular status updates on reconciliation progress, key findings, risks, and resolutions.
  • Demonstrate strong analytical and problem-solving skills to bring clarity and resolution to complex financial and documentation challenges.
  • Establish consistent, audit-ready project records that support accurate reporting and decision-making.

Ideal Background

  • Experience in construction project management, project controls, development accounting, construction finance, project closeout, or a related field.
  • Strong understanding of construction budgets, cost allocation, forecasting, contract administration, and financial reporting.
  • Familiarity with construction project documentation and closeout requirements.
  • Exceptional organizational skills and attention to detail.
  • Proven ability to analyze complex data, identify gaps, resolve inconsistencies, and independently drive projects to completion.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $ 68,000.00 - $80,000.00
