Job Description Summary

Under the supervision of the Facilities Manager, the Assistant Facilities Manager supports the facilities organization at a specific location, set of buildings, or campus environment. The Assistant Facilities Manager is charged with supporting the day-to-day implementation of policies, procedures, programs and workplace services delivery that provides a well-managed and well-maintained building. Places an emphasis on a positive response to the concerns and needs of the tenants, environmental health and safety, and quality programs, in coordination with the client's goals and objectives.

About the Role:

  • Acknowledge all work requests and update the CMMS with follow-up actions within the required response times. Once the work is completed and verified, to ensure case is properly closed in the CMMS. To update the PM/BM for tracking of all works related to CC.

  • The Property Executives will assist CC to call for cost estimate for all ad-hoc works, and carry out all site measurements and records, put up Request for Approval (RFA) form for approval.

  • Roving PEs shall be stationed at the designated Community Centre, Club, or Building when not roving between sites.

  • Coordinate and supervise all works with the Term Contractors (TC) and ensure that all works are carried out in accordance with the specified schedules, quality standards, and contractual obligations.

  • For all works, evaluate and conduct joint measurements (where necessary) with contractors on their claims for all Work Orders.

  • Verify and endorse service reports and invoices, ensuring that all work carried out is in compliance with contract requirements.

  • Respond to all queries related to ongoing work, property management, or operational concerns. Ensure that queries are addressed promptly and effectively, escalating issues to the Property Manager (PM) when necessary.

  • To conduct building inspections twice a week for each Community Centre/Club/Building and submit the inspection report along with photos (attach photos to the report using Report and Run app) and upload in CMMS inspection module.

  • Conduct monthly audit if required and submit to the TC (with a copy to the PM).

  • Instilling a culture of workplace safety and behavior among team members and TC.

  • Conduct the Customer Satisfaction Survey twice a year (every 6 months).

  • Prepare and compile all necessary information for all site meetings (such as CCMC and MA operations meeting) and attend as required, with the writing of minutes.

  • Plan and coordinate all necessary license renewal activities (such as Annual Shutdown(ASD) and Water Tank Cleaning) for each Community Centre/Club/Building and submit ASD checklist to CMMS.

  • Respond to incidents on site, coordinate with CC and contractors to recover services and minimize operations disruptions.

About You:

  • Diploma in facilities management, building, business or other related field required.

  • A minimum of 3-5 years relevant experience, preferably in commercial or industrial real estate with facility management experience required

  • Hands‑on skills in attending to faults, repairs, servicing, and emergency requests.

  • Strong communication skills to update supervisors and document work activities accurately
