Job Description Summary
The Facilities Coordinator provides administrative and operational support to the facility management team to ensure efficient, safe, and high-quality service delivery across client sites. The role focuses on coordinating day-to-day facilities activities, managing vendor relationships, resolving facility-related issues, and maintaining a well-functioning workplace environment that meets client expectations.
Job Description
About the role:
1. Facility Operations & Support
- Provide overall support for daily facility operations and monitor workplace conditions.
- Coordinate maintenance, repairs, and general office services to ensure smooth operations.
- Maintain knowledge of building systems (HVAC, electrical, safety systems).
2. Client & Stakeholder Management
- Act as a point of contact for client inquiries, concerns, and service requests.
- Ensure timely resolution of issues and maintain high customer satisfaction.
- Communicate regularly with clients, landlords, vendors, and internal teams.
3. Vendor & Contractor Coordination
- Coordinate third-party vendors for maintenance, repairs, and services.
- Monitor vendor performance and ensure compliance with service-level agreements (SLAs).
- Request, review, and submit vendor bids, proposals, and invoices.
4. Work Order & Helpdesk Management
- Create, assign, and track work orders through completion.
- Monitor open and closed work orders and follow up for timely resolution.
- Provide facilities helpdesk support and workflow monitoring.
5. Administrative & Financial Support
- Process purchase orders, invoices, and billing documentation.
- Maintain facility records, reports, and documentation.
- Track service performance metrics and assist in reporting KPIs.
6. Compliance, Safety & Inspections
- Support site inspections and ensure compliance with safety regulations and company standards.
- Follow building-specific maintenance, environmental, and safety procedures.
- Manage incident response (e.g., environmental or emergency issues).
7. Coordination of Projects & Events
- Assist with workspace setup, employee onboarding logistics, and office moves.
- Coordinate special events and projects for client sites.
About you:
- Degree in Facilities Management, Building Services, or a related business field.
- Relevant hands-on experience may substitute for formal education.
- Familiar with modern workplace concepts and evolving workspace trends.
- Strong knowledge of Facilities Management processes and best practices.
- Understanding of Health & Safety regulations within the FM industry.
- Proficient in supply chain and vendor management principles.
- Experience in preparing monthly reports on service delivery and compliance.
- Proven ability to manage multiple offices across regions.
- Strong interpersonal skills with a proactive, “can-do” attitude.
- High attention to detail with a strong customer service mindset.
- Ability to engage stakeholders, build trust, and communicate effectively.
- 3–5 years of relevant work experience.
