Executive Assistant

About the Role:

  • Executive Support & Scheduling: Manage calendars, appointments, travel itineraries, expense claims, and meeting logistics; prepare agendas and minutes with clear action tracking.
  • Documentation & Records: Draft, format, and maintain correspondence, approvals, trackers (MoMs, action logs), and confidential files in shared repositories with version control.
  • Stakeholder Coordination: Liaise with internal teams, vendors, and leadership for meetings, submissions, and follow-ups; ensure deliverables are tracked and closed on time.
  • Operational Tracking & Compliance: Maintain trackers for approvals, contracts, and compliance checklists (e.g., policy adherence, data privacy, audit readiness).
  • Reporting & MIS: Prepare weekly/monthly dashboards on actions, travel/expense status, and meeting outcomes; escalate delays/risks proactively.

About You:

  • Bachelor’s degree; 2–4 years in executive assistance/administrative support.
  • Strong calendar/travel management, documentation accuracy, and stakeholder handling.
  • Excellent MS Office skills (Excel trackers, PowerPoint decks, Word formatting); familiarity with e-approval/workflow tools.
  • High integrity with confidentiality, attention to detail, and follow-through.
  • Strong communication, prioritization, and the ability to manage multiple parallel tasks.
