Your work will contribute to operational excellence across the portfolio, enabling a workplace that is welcoming, productive, and representative of an esteemed global brand. In this role, you will support one of C&W's most forward-thinking and prestigious client accounts by providing the control, workflow, evidence, data and reporting engine for Estate Management across assigned markets. The Estate Manager - Hub-Based ensures lease information, critical dates, estate obligations, compliance records, subtenant trackers, payment events, incident logs, approval support and management information are maintained with discipline and made available to market and regional teams at the right time. This is not a passive administration role. It is a control and delivery role that enables In-Market Estate Managers to focus on judgement-led landlord, subtenant and stakeholder matters while the Hub provides reliable process, evidence and auditability. The role contributes to operational excellence, workplace stability and lateral collaboration by connecting Lease Administration, market Estate Management, Transactions, Finance, Legal, FM, HSE / HSSE, Security and regional leadership through consistent workflow and evidence management.

Job Description

Responsibilities

1. Operational Excellence and Workflow Control

  • Operate the Estate Management workflow engine for assigned markets, including triage, action tracking, deadline management, escalation prompts and closure records.
  • Open, classify and maintain Estate Management workflows in line with agreed operating standards.
  • Determine whether a matter can remain hub-led because it is routine, evidence-led and low risk, or whether market judgement is required.
  • Run routine Estate Management processes where appropriate, including standard ATM renewals, low-risk landlord correspondence and recurring information requests.
  • Identify recurring issues, process gaps and data defects, and work with regional and global Estate Management leadership to improve workflow quality and productivity.

2. Lease Administration, Data and Critical Dates

  • Own lease data coordination with Lease Administration, including abstraction follow-up, Horizon updates, document completeness, critical date visibility and data quality checks.
  • Monitor expiries, break options, notice dates, rent reviews, renewals, option dates, sublease events and other critical estate events, escalating early where market judgement is required.
  • Maintain subtenant tracking for critical dates, recharges, deposits, notices, exits, reinstatement actions and Finance touchpoints.
  • Support property tax, rent, service charge, recharge and payment event processes through data preparation, history checks, document retrieval and approval pack support.
  • Coordinate handover from Transaction Management into Estate Management, ensuring signed documents, payment triggers, critical dates, approvals and system updates are complete.

3. Evidence, Reporting and Governance

  • Maintain estate evidence packs, including lease extracts, notices, correspondence, issue history, approvals, adviser outputs and chronology records.
  • Support landlord assurance and compliance oversight through registers, evidence requests, status tracking and escalation reporting.
  • Prepare and maintain vendor, adviser and approval support materials, including SEN inputs, governance logs, approval templates and supporting appendices.
  • Produce Estate Management dashboards, QPR inputs, MI, overdue action reporting, critical date reporting and operational risk summaries.
  • Challenge incomplete data, missing documents, unclear ownership or weak evidence before matters are reported as closed.

4. Collaboration and Cross-Support

  • Work closely with In-Market Estate Managers to provide timely evidence packs, action trackers and decision support.
  • Collaborate with Lease Administration, TM Hub, Transaction Managers, Finance, Legal, FM, HSE / HSSE, Security and reporting teams to support controlled, end-to-end delivery.
  • Escalate to the In-Market Estate Manager when landlord negotiation, commercial judgement, regulatory sensitivity, reputational risk, ambiguity or senior stakeholder engagement is required.
  • Escalate to the Regional Head of Estate Management when deadlines, risks, repeated landlord failures or unresolved actions require regional intervention.

5. Role Boundaries and Handoffs

  • The role does not own material landlord negotiation, commercial dispute strategy or sensitive local stakeholder management; these sit with the In-Market Estate Manager.
  • The role does not provide legal, tax, finance, HSE / HSSE or technical advice, but it supports the evidence and workflow required for those specialists to advise.
  • The role does not own transaction strategy, broker direction or deal negotiation, but it supports handover, approvals, data and documents at the Estate Management / Transaction Management interface.
  • The role does not close material estate risks without confirmation from the relevant market or regional Estate Management lead.

Qualifications & Requirements

Key Competencies

• Workflow ownership: disciplined in triage, action tracking, deadline management, closure records and escalation prompts.

• Data and document control: strong focus on lease data accuracy, evidence packs, critical dates, document completeness and auditability.

• Operational judgement: understands when a matter is routine and when it requires market, regional or specialist intervention.

• Reporting discipline: able to produce consistent, useful and trusted MI for regional and global leadership.

• Collaboration: confident working across markets, time zones and matrix teams, with the ability to chase actions and escalate clearly.

• Continuous improvement: actively identifies recurring issues, process gaps and productivity opportunities.

Experience and Education

• Experience in lease administration, estate management operations, real estate portfolio management, data governance or corporate occupier account delivery.

• Strong understanding of lease documents, critical dates, rent events, renewals, notices, subleases, deposits, recharges and document control.

• Experience supporting a regulated portfolio where evidence, controls, auditability and data accuracy matter.

• Strong Excel, reporting and system discipline; experience with lease systems, workflow tools, dashboards or MI environments preferred.

• Degree or equivalent professional experience in real estate, business administration, lease administration, data management, operations or a related discipline preferred.

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets. May be required to travel outside between properties in varying weather conditions.
