Job Description Summary
The Office Services Specialist – Mail Services is an on-call position responsible for supporting mailroom operations as needed. This role is utilized to cover last-minute call-outs as well as planned absences such as vacations. Weekly hours may vary significantly based on operational needs and can range from 0 to 40 hours per week, with an average of approximately 8 hours per week. This position requires a high level of flexibility and availability, including the ability to respond to short-notice scheduling changes. There are no guaranteed hours, and work assignments are based entirely on business need. This is an excellent opportunity for individuals seeking occasional or supplemental work, including those who may have stepped away from the workforce and are looking for a flexible way to re-engage. When scheduled, the Office Services Specialist ensures the efficient and accurate handling of incoming and outgoing mail and packages, participates in all mailroom operations, and supports overall office services functions as needed.
Job Description
Essential Duties and Responsibilities
Incoming Mail/Packages:
- Pick mail daily from the post Office.
- Date stamp, sort and distribute US Mail and special mails (Fed Ex, UPS, Parcel Post, etc.)
- Maintains files, logs and records on all incoming mail.
- Screen all incoming Mail and Packages.
- Deliver special and rush packages.
- Delivers mail to each department, person, or pre-established drop area as required by the client.
Outgoing Mail/Packages:
- Complete all mailings in a timely manner.
- Sort and stamp outgoing mail.
- Process outgoing accountable packages.
- Operate postage machine according to policy and regulations.
- Prepares for mailing Certified, Registered, Insured articles, special mails.
- Maintains files, logs, and records.
- Daily picks up outgoing mail and interoffice mail from each lobby or pre-established drop area as required by the client.
Other Duties:
- Maintain a clean shipping area and Van.
- Communicate with supervisor or client on job or deadline issues.
- Utilize software mail applications where applicable.
- Answer telephone in Mailroom.
- Adhere to C&W Services policies in addition to client site policies.
- Use equipment and supplies in a cost-efficient manner.
- Other duties as directed by management.
- Handle sensitive and/or confidential documents and information.
Knowledge and Skills
- High school diploma or equivalent.
- Ability to drive a van size vehicle.
- Must be able to lift up to 50 lbs. on a regular basis.
- Understanding of postal equipment, including standard shipping software.
- Awareness of postal rules, with the ability to explain relevant regulations to clients.
- Knowledge of international shipping processes.
- Ability to make independent decisions and use problem-solving skills.
- Ability to work in a fast-paced team environment.
- Attention to detail with emphasis on accuracy and quality.
- Ability to prioritize work to balance multiple projects and deadlines.
- Excellent verbal and written communication skills.
- Exceptional customer service skills.
- Intermediate computer skills required.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $20.40 - $24.00
