Job Description Summary
The Associate Project Coordinator plays a key administrative role in supporting the workflow and operations of the Production Design Manila Hub. This position is responsible for assisting in project intake, coordinating task assignments, tracking project milestones, and facilitating communication between the Manila-based team and Americas-based stakeholders. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, high-volume environment.
Job Description
Project Intake and Coordination:
Log and assign incoming project requests
Prioritize and delegate tasks to appropriate team members based on workload and capacity
Maintain accurate records of project requests
Workflow and Task Assignment:
Monitors the mailbox for additional project tasks and emails from requestors.
Assists Designers, Team Leads and other team members with the workflow and process.
Helps track multiple projects simultaneously and flag potential delays or bottlenecks
Assist in maintaining and updating project tracking systems and dashboards
Communication and Collaboration:
Can act as a communication liaison between Manila and Americas teams to ensure seamless coordination for tasks.
Provide timely updates to internal stakeholders regarding project status and task assignments
Escalate issues related to capacity, delays, or missing information to the Program Director or relevant team leads
Documentation:
Assists in data entry, documentation and minor data scrubbing tasks needed by senior project coordinators.
Assists in updating process flow and guidelines documentations as needed.
Experience and Skills:
Bachelor's degree
Experience in a fast-paced graphic production environment
Willing to learn technical and process-oriented skills
Ability to balance and prioritize multiple priorities and monitor project statuses in a high-volume, fast-paced environment – strong organizational skills
Solution-oriented with a learning mindset.
Strong English communication skills (verbal and written)
Reliable and supportive team player
Highly proficient in Microsoft Office Suite
