Job Description Summary

This role offers an exceptional opportunity to develop your career within lease administration, property finance, portfolio management, and commercial real estate. Working alongside experienced Lease Managers and Transaction Managers, you'll play a critical role in managing lease data, financial obligations, lease compliance, and property portfolio administration across a national government portfolio.

Key Responsibilities

Lease Administration & Data Management

  • Maintain lease databases and portfolio records, ensuring data accuracy and integrity.
  • Upload and manage lease documentation and associated records.
  • Update lease obligations, critical dates, security deposits, and insurance registers.
  • Calculate and verify CPI rent reviews and lease escalations.
  • Track lease compliance requirements and maintain document registers.
  • Monitor lease file completeness and support audit activities.

Financial & Invoice Management

  • Review rental statements and invoices for accuracy and lease compliance.
  • Support CAM, operating expense, tax, insurance, and rent reconciliation reviews.
  • Generate funding requests and process purchase orders as required.
  • Analyse and resolve landlord payment inquiries and discrepancies.
  • Prepare workflows for payment adjustments and lease-related financial transactions.
  • Assist with annual client budget preparation and forecasting activities.

Lease & Portfolio Support

  • Review lease provisions including rental reviews, market reviews, options, and renewals.
  • Prepare lease summaries and critical lease information for stakeholders.
  • Support lease expiry and end-of-lease reconciliation processes.
  • Review revenue rent rolls and identify exceptions and variances.
  • Assist with tenant and sub-tenant administration activities.

Transaction Management Support

  • Assist with new site acquisition and renewal documentation.
  • Prepare market briefs and supporting property documentation.
  • Support market reviews, lease renewals, and option exercises.
  • Compile market evidence and Heads of Agreement documentation.
  • Coordinate with Facilities Management and Project teams regarding ongoing occupancy requirements.

You'll Bring

  • Experience in Lease Administration, Property Administration, Accounts Payable, Accounts Receivable, Property Finance, or Commercial Real Estate.
  • Strong analytical and problem-solving skills.
  • Excellent attention to detail and data accuracy.
  • Ability to prioritise competing deadlines within a fast-paced environment.
  • Strong communication and stakeholder management capabilities.
  • Confidence working with lease documents, contracts, invoices, and financial records.
  • Intermediate to advanced Excel and systems management skills.
  • A customer-focused approach and commitment to service excellence.

Desired Experience

  • 2+ years' experience in lease administration, property operations, finance, accounts administration, or a similar field.
  • Experience working with property, lease, financial, or real estate databases.
  • Exposure to corporate real estate, facilities management, occupier services, or portfolio management environments is highly regarded.
  • Experience working in a complex corporate or government-related environment will be advantageous.
