This role will be responsible to assist the Facility Manager for the overall Integrated Facility Management of SUSS IFM project.

ROLES AND RESPONSIBILITIES:

The Assistant Manager (AM) serves as an assistant to the Manager. He oversees the operations and maintenance of mechanical & electrical systems including operational needs of this Contract and manages all Site Supervisors. He shall work closely with the Manager, Site Supervisors and the Administrative Officer to ensure that all requirements under this Contract are met and daily operations for SUSS are functioning smoothly.

The AM must possess good M&E knowledge and experience and provide guidance to the Site Supervisors in the operational, troubleshooting and maintenance aspect. This involvement does not limit to coaching of the site supervisor and technician with technical skills of preventive and corrective maintenance.

The AM must communicate well in English (both spoken and written) and is expected to establish good working rapport with users at all times and to attend to appointment promptly. The AM shall have SUSS to mobilize, plan and arrange for resources to carry out work as instructed by the University. He shall supervise and report back to the client (SUSS) upon completion of work.

As and when emergency services are called upon during normal operation hours, the AM shall arrange and mobilize all resources to attend the Fault and supervise the work carried out. The same shall apply for weekday off-operation hours and weekend emergency works.

He shall assist SUSS in carrying out an energy management programme such as monitoring and improving the efficiency of energy usage in the Premises.

The key responsibilities shall include but not limited to

To assist the Manager:

  • Plan and execute the Schedule of Programmed Maintenance as required in the IFM contract.
  • Plan and monitor the corrective Maintenance to meet the IFM contract requirement.
  • Ensure tight milestones, KPI’s and targets are met promptly.
  • Monitor and manage Helpdesk, ensuring timely response and adherence to performance standards.
  • Submission of monthly report per FM monthly performance reporting regime.
  • Prepare and/or update manuals, reports on time as required for submission to Client.
  • Review and update SOPs and processes to strengthen FM operations.
  • Review and develop measures to meet the Operations requirement.
  • Communicate and engage with internal and external customers, vendors, tenants, etc.
  • Build and maintain good relationships with clients and key stakeholders.
  • Review, manage, and ensure timely renewal of all service contracts, maintaining compliance with contractual obligations
  • Take accountability and Ownership of Workplace Safety & Health (WSH) standards and outcomes in building up a safety culture.
  • Undertake any other related duties and responsibilities as assigned by the Immediate Supervisor and/or Higher Management within C&W.

The staff shall have the following minimum qualifications and experience:

Academic qualification:

  • At least a Diploma in Mechanical/Electrical Engineering, Estate/Facilities Management, Building Science, or equivalent

Years of relevant working experience:

  • At least 8 years

Years of relevant supervisory experience:

  • At least 3 years
