Job Description Summary
Under the supervision of the Facilities Manager, the Senior Assistant Facilities Manager is responsible for assisting in all areas defined as part of the Facility Manager position. This is a management position that will directly and indirectly supervise individuals, building staff, operations, and coordinate across the facilities organization at a specific location, set of buildings, or campus environment. The Senior Assistant Facilities Manager drives implementation of company best practices in alignment with client goals and objectives to deliver a well-managed and maintained building.

About the Role
Ensure proper handing over and taking over of units.
Carry out site inspections including monthly night inspection.
Able to read and reply e-mail; i.e. PC literate including Microsoft Words & Excel.
Liaising and checking tenant’s fitting out works.
Carry out planned inspections, quality control, and supervision of employees, sub-contractors and other services including client's appointed contractors.
Deal with incidents, complaints, breakdowns and repairs.
Act as a Competent Person in providing engineering and technical assessment towards to trouble-shooting, identifying the appropriate causes, review and implement the appropriate solutions to be executed by the Sub-Contractors and other service providers.
Attend to feedbacks and requests from the Employer staff and tenants.
Provide 24 hour emergency support. Function as the initial first response to emergency situation and be familiar and trained in the appropriate process and procedures.
Perform any other work necessary for effective operation of the Property or as directed by the SO.
Handle tenant’s requests and feedback; liaise with tenants on management and maintenance issues in line with client's SOP and Tenancy Agreement.
Carry out monthly/quarterly periodic inspections on assigned properties with standard checklist, identify any defects or irregularities and follow up with tenant on necessary repair/ reinstatement/regularization. Timely renewal of licenses and certificates, submission of service reports by tenants.
Plan and execute preventive maintenance and corrective work.
Supervise term contractors or service providers of both subcontractors of the FMC and term contractors & adhoc contractors to ensure that works are carry out satisfactory and in accordance to stipulated scope of work, and terms and conditions, SOP.
Call quotations for any adhoc / preventative works and ensure that works are carried out satisfactory.
Review and process tenants’ A&A works including collection of deposit and admin fee and ensure compliance in accordance to Fitting Out guidelines.
About You
Recognised Diploma with relevant FM background
Minimum 5 years' relevant Facilities Management experience
Experience in tenant and contractor management
CERT (SIC) and First Aid trained, or willing to be trained and appointed as a CERT/First Aider member
