About the Role

We have an exciting opportunity for a highly motivated Facilities Coordinator to join our Integrated Facilities Management team.

Supporting a diverse portfolio of commercial, retail, industrial and specialty assets, you'll play a critical role in coordinating maintenance services, managing contractors, processing invoicing and ensuring compliance obligations are met.

This role is ideal for someone who enjoys problem-solving, building relationships and keeping things moving. You'll be working with clients, suppliers, landlords and internal stakeholders daily, so a proactive attitude and confidence in following up and driving outcomes are essential.

Key Responsibilities

  • Coordinate planned and reactive maintenance activities across a property portfolio

  • Manage work orders and contractor engagement to ensure service delivery requirements are met

  • Follow up contractors, landlords and stakeholders to ensure tasks are completed on time

  • Manage purchase orders, invoicing and financial administration activities

  • Assist with maintaining asset registers and statutory compliance documentation

  • Support contractor performance and compliance management

  • Liaise with landlords, managing agents and service providers regarding repairs and maintenance

  • Assist with budget tracking and maintenance spend reporting

  • Support critical maintenance escalations and incident reporting

  • Contribute to client reporting, variance commentary and data management activities

  • Help drive positive customer outcomes through responsive and proactive service delivery

About You

  • Experience in facilities administration, maintenance coordination, accounts payable, CXC customer service, or administration

  • Highly motivated and confident in following up clients, contractors and stakeholders

  • Strong attention to detail and problem-solving skills

  • Excellent communication and relationship-building abilities

  • Proven ability to manage multiple tasks and competing priorities

  • Customer-focused with a proactive and can-do attitude

  • Comfortable working with systems, data and reporting
