TITLE Executive – Soft Service
BUSINESS LINE Integrated Facilities Management
REPORTING TO CW India Manager / C&W Operations manager (Corporate) / Client Facilities Manager
PRINCIPAL GOALS:
- Achieve timely and efficient delivery of Facility Management services to Client.
- Support business needs in accordance with the SOW, Service Levels and Key Performance Indicators.
DUTIES AND RESPONSIBILITIES
- Executive is responsible for the delivery of workplace services and the primary point of contact for all local Facilities Management related matters.
- Establish FM Operational procedures and roll out the same for site staff.
- Plan and manage the soft service budget in coordination with finance in charge.
- Tracking soft services operating expenses and ensures it is within budget.
- Timely submission of accruals for the clarity on the monthly invoicing.
- Validation and tracking of C&W sub-vendor invoices and payments.
- Collection of NDC’s periodically.
- Review the maintenance/service practices of sub-service contractors to deliver quality work practices.
- Responsible for weekly & monthly reports on SS for Client.
- Creating a strong vendor base for managing operations seamlessly.
- Management of Housekeeping services, Pest Control, Indoor plants, AMC’s, M&E, gym vendors and supporting vendors (Transport, Food, etc.) engaged through client.
- Effective inventory management & control.
- Always ensuring availability right quality and quantity of cleaning material (spares & consumables).
- Management of service partner staffs responsible for overall upkeep of the facilities in most hygienic & hassle-free condition.
- Daily inspection/walk through of floors for cleanliness and hygiene and take corrective actions as accordingly.
- Periodically inspect the logbooks and checklists.
- Working towards the minimum down time and set up the practices to ensure the delivery of seamless service to client.
- Train and upgrade skills of team members in housekeeping and M&E through regular training schedule. Measure effectiveness of these trainings for future corrective actions.
- Coordinating with food vendor and client and working towards enhancement of cafeteria services. Validating the MIS for the food served.
- Coordinating with client for inter-office events like yearly celebrations, cultural festivals, etc.
- Extend support for CSR activities conducted within the client premises.
- Attendance reviewing of staff on site on monthly basis. (C&W, HK, technical & gym).
- To maintain agreed headcount at any given point of time. Recruit manpower as and when required to avoid shortfall. To identify key positions and create backups.
- Ensure discipline in all respects with regard to uniforms, ID cards, personal grooming of employees, attendance, behavioral aspects etc.
- Maintain safe environment for all facility employees, contactors & visitors.
- Member of client Emergency Response Team.
- Working in coordination with colleagues across locations for enhancement
- Coordinating with client for space management (teamwise allocation of workstations & cabins). Maintaining deck for meeting with the respective leaders.
- Responsible as a back-up for technical, transport & EHS, if required.
- Ensure for smooth operations of all FM services pertaining to the facility. Highlight if any issues/challenges to Client and take support for necessary remedial actions.
