Facility Coordinator
Full Time | Integrated Facilities Management
About the Opportunity
As the Facility Coordinator, you’ll play a key role in supporting the delivery of planned and reactive maintenance, contractor management, compliance activities and day‑to‑day FM operations. You’ll work closely with the Facility Manager, trades teams, subcontractors and hospital stakeholders to ensure services are delivered safely, efficiently and in line with contractual and regulatory requirements.
This role is ideal for someone who thrives in a structured yet dynamic environment and enjoys being the operational heartbeat of the FM team.
What You’ll Be Doing
Acting as the first point of contact for FM service requests, faults and stakeholder enquiries
Logging, tracking and closing work orders
Scheduling contractors and in‑house technicians
Maintaining compliance documentation, logbooks and certification registers
Supporting the Permit to Work process and maintaining permit records
Preparing reports, meeting minutes and FM correspondence
Coordinating site inductions, visitor access and contractor management
Raising purchase orders, tracking invoices and supporting procurement activities
Monitoring service delivery and operational performance
Supporting operational escalations and ensuring timely resolution of issues
What You’ll Bring
Minimum 2 years’ experience in a similar FM coordination or administrative role
Experience in complex facilities — hospital or clinical environments highly regarded
Strong understanding of building services, maintenance processes and contractor coordination
Excellent communication, stakeholder engagement and customer service skills
Strong organisational skills with the ability to prioritise and manage competing tasks
Intermediate to advanced Microsoft Office skills (Word, Excel)
Ability to work in a fast‑paced, highly regulated environment
