Job Description Summary
Manage end-to-end facility operations, including hard & soft services, vendors, budgets, PPM, compliance and workplace services, ensuring seamless operations and SLA/KPI adherence.
Job Description
Principal Goals
- Achieve timely and efficient delivery of Facility Management services to Client.
- Support business needs in accordance with the SOW, Service Levels and Key Performance Indicators.
Duties and Responsibilities
- Establish FM Operational procedures and roll out the same for site staff.
- Plan and manage the budgets for Facilities in coordination with Client.
- Review the maintenance/service practices of M&E Contractors to deliver quality work
- practices in line with the manufacturer’s recommendations.
- Ensure for smooth operations of all FM services (Janitorial , M & E , Workspace
- management, café operations, Helpdesk, soft services pertaining to the facility. Highlight if
- any issues/challenges to Client and take support for necessary remedial actions.
- Plan for critical spares list for all installations as per manufacturer’s recommendations and
- manage inventory.
- Responsible for development of all maintenance related schedules and shutdowns in
- consultation with Client / OEMs
- Periodically inspect the logbooks, checklists and PPM schedules for better management of
- systems & processes.
- Work towards the minimum down time and set up practices to ensure the delivery of
- seamless service to Client.
- Coordination with Building landlord for any infrastructure related support, energy bills etc.
- Initiate Energy management programs to reduce the cost on utilities in coordination with
- client.
- Responsible for weekly & monthly reports on facility operations for Client.
- Management of service partner staffs responsible for overall upkeep of the facilities including
- for reception area and other common areas, common toilets in most hygienic conditions.
- Management of all M & E support staffs also as well.
- Daily inspection/walk through of floor for cleanliness and hygiene and take corrective actions
- as accordingly.
- Ensuring availability right quality and quantity of cleaning material (spares & consumables) at
- all times.
- Tracking facility operating expenses and ensures it is within budget.
- Management of Housekeeping services, Pest Control, Indoor plants, Security services, food
- vendors, AMC’s, M & E vendors and other 3rd party vendors engaged through client.
- Train and upgrade skills of team members in housekeeping and M & E and Measure
- effectiveness of these trainings for future corrective actions.
- Apply and follow the contractual obligations, policies and procedures.
- Maintain safe environment for all facility employees, contactors & visitors.
- Adherence to the KPI
- Preparing Month management report and submit to Client.
- Cafeteria management.
- Vendor service partner management and 3rd party vendor management & coordination.
- Monthly measurement of achievement of Key Performance Indicators and preparation of
- Monthly Reports on or before agreed date every month for the previous month.
- Overseeing technical operation and ensure PPM is carried out as per the schedule.
- Co-ordination with OEM/AMC vendor for any breakdown and maintenance calls, ensure
- escalation matrix is followed religiously.
- Timely management reporting with respective stake holders and operation manager.
- Effective inventory management & control.
- Energy management & tracking in coordination with building maintenance support team.
- Regular training for sub vendor staffs as per the schedule.
