Senior Marketing Specialist, Operations
Job Description Summary
As a member of the Property Marketing Center of Excellence (COE) in the Americas, the Senior Marketing Specialist, Operations is responsible for the day-to-day operational infrastructure that allows the COE to run efficiently, consistently, and at scale. This role partners closely with the Director of Property Marketing to manage the systems, vendors, processes, and reporting that support the broader marketing team. Unlike marketing roles focused primarily on campaign strategy and execution, this position is centered on operational excellence: keeping projects moving efficiently through Asana, ensuring SharePoint resources are current and well-organized, managing vendor relationships and research, overseeing invoicing for revenue-generation items, building and maintaining team process documentation, and producing the client reporting, analytics, and presentation materials that support leadership and client-facing meetings. We are looking for a highly organized, detail-oriented, and proactive operator who thrives on solving process problems, brings comfort working across systems and tools, and can confidently manage vendor, financial, and reporting workflows in a fast-paced, collaborative environment. The ideal candidate is someone who does not simply maintain existing processes, but actively looks for ways to make the organization work smarter, faster, and more consistently.
Job Description
Responsibilities:
Invoicing & Revenue Operations
- Manage the invoicing process for revenue-generation items within the Property Marketing COE, ensuring accuracy, timeliness, and proper documentation.
- Track outstanding invoices, follow up on approvals, and coordinate with finance, brokerage teams, and internal partners to resolve discrepancies.
- Maintain organized records of billing activity and support reporting on revenue-generation performance for the Director of Property Marketing.
- Identify opportunities to streamline and improve invoicing workflows to reduce errors and turnaround time.
Systems, Workflow & Process Management
- Serve as a primary point of contact for Asana troubleshooting, helping the team resolve workflow issues, optimize project templates, and maintain consistent use of the platform.
- Monitor team workflows within Asana to identify bottlenecks, inefficiencies, and opportunities to improve project throughput and service delivery.
- Own and maintain the Property Marketing COE's SharePoint site(s), ensuring content, templates, and resources are current, accurate, and easy to navigate.
- Partner with the Director of Property Marketing to evaluate and evolve team processes, tools, and platforms as the COE's needs grow.
- Document and maintain team process and operating guides, ensuring materials reflect current workflows and are easily accessible to the team.
- Support the rollout of new tools, processes, or workflow changes, including training and change-management materials as needed.
Vendor Management & Research
- Manage day-to-day relationships with external vendors supporting the Property Marketing COE, including onboarding, ongoing communication, and issue resolution.
- Conduct research on new vendors and marketing resources to expand and strengthen the COE's capabilities, including sourcing, vetting, and comparing options.
- Support vendor contracting, pricing discussions, and performance tracking in partnership with the Director of Property Marketing.
- Maintain an organized inventory of current vendors, contacts, capabilities, and pricing for easy reference across the team.
Onboarding & Team Enablement
- Develop and maintain onboarding guides and materials for new team members, ensuring content stays current with evolving tools, processes, and expectations.
- Lead or support partial onboarding for new hires, contractors, or team members transitioning into new roles, ensuring a smooth and consistent ramp-up experience.
- Partner with the Director of Property Marketing to identify onboarding gaps and continuously improve the new-hire experience.
- Serve as a resource for team members with questions about processes, tools, or operational workflows.
Client Reporting, Analytics & Presentations
- Develop client reporting and analytics materials that translate marketing and operational data into clear, actionable insights.
- Build decks and supporting materials for internal and client-facing meetings, ensuring content is accurate, polished, and on-brand.
- Maintain reporting templates and dashboards to support consistent, efficient reporting across the COE.
General Operations Support
- Partner with the Director of Property Marketing on a wide range of operational initiatives that support the effectiveness and scalability of the Property Marketing COE.
- Proactively identify operational gaps, inefficiencies, or risks and recommend practical solutions. Take ownership of operational issues from identification through resolution, coordinating stakeholders and driving next steps as needed
- Support special projects and ad hoc operational needs as they arise, adapting quickly to shifting priorities.
- Maintain a strong understanding of the COE's overall structure, workflows, and priorities to effectively support cross-functional operational needs.
Qualifications
- Bachelor's degree in Marketing, Business, Communications, Operations, or a related field preferred.
- 3+ years of marketing operations, business operations, project coordination, or related professional experience.
- Commercial Real Estate and/or property marketing experience preferred, but not required.
- Demonstrated experience managing invoicing, vendor relationships, or financial/administrative workflows.
- Strong working knowledge of Asana or comparable project management platforms, including workflow troubleshooting and optimization.
- Experience managing or maintaining SharePoint sites or similar intranet/content management platforms.
- Strong analytical skills with the ability to build clear, accurate reporting and translate data into actionable insights.
- Excellent organizational and process-management skills with the ability to manage multiple operational workstreams simultaneously.
- Self-motivated and proactive, with a continuous-improvement mindset and comfort identifying and solving process gaps.
- Comfortable working in a fast-paced, deadline-driven environment while managing competing priorities.
- Advanced proficiency in Microsoft Excel and PowerPoint; experience with Power BI or other business intelligence/reporting platforms is a plus.
- Strong written and verbal communication skills, with the ability to work effectively across multiple teams, functions, and levels of an organization.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $ 72,250.00 - $85,000.00
