Job Description Summary

The Vendor Coordinator oversees external service providers, contractors, and suppliers supporting facility operations. This role ensures vendors meet performance expectations, adhere to safety standards, fulfill contractual obligations, and align with operational budgets.

Job Description

Key Responsibilities

  • Vendor Sourcing & Onboarding: Identify, vet, and onboard third-party vendors for maintenance, janitorial, HVAC, security, landscaping, and specialized facility services.
  • Contract & Compliance Management: Maintain active service contracts, ensure up-to-date Certificates of Insurance (COIs), standard safety certifications, and compliance with local regulatory requirements.
  • Service Quality & SLA Tracking: Monitor Service Level Agreements (SLAs), conduct regular quality audits, and inspect completed work before approving work orders.
  • Financial Coordination: Review vendor invoices for accuracy against contracts, process purchase orders (POs), and track vendor-related expenses against the facility budget.
  • Issue Resolution: Act as the primary point of contact for vendor disputes, performance deficiencies, and operational delays to ensure minimal downtime.
  • Work Order Dispatch: Coordinate vendor access, schedules, and site permissions with internal site teams and tenant points of contact.

Required Qualifications

  • Education: Associate's or Bachelor's degree in related field (or equivalent work experience).
  • Experience: 3 years plus of vendor management, procurement, or facility operations experience.
  • Skills: Strong negotiation, contract administration, and communication skills.
  • Technical Proficiency: Experience using Computerized Maintenance Management Systems (CMMS), IWMS, or ERP platforms (e.g., SAP, Oracle, Procore).

Preferred Qualifications

  • Basic working knowledge of building systems (HVAC, electrical, plumbing, safety systems).

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $29.75 - $35.00
