Are you an organised and proactive professional looking to build your career in Facilities Management?

Cushman & Wakefield is seeking a Facilities Coordinator to support a well-established client account in Brisbane. This is an excellent opportunity for someone with experience in maintenance coordination, facilities management, property administration, or contract administration who enjoys problem-solving, stakeholder engagement, and delivering exceptional customer service.

Working closely with the Maintenance Services Manager, you'll play a key role in coordinating day-to-day maintenance operations, managing service requests, supporting contractor performance, and ensuring high service standards are consistently achieved across a national portfolio of approximately 260 sites. This role offers excellent exposure to maintenance operations, contractor management, compliance, and reporting within a mature and well-supported account.

About the Role

Reporting to the Maintenance Services Manager, you'll support the delivery of planned and reactive maintenance services across a national property portfolio.

Key responsibilities include:

  • Coordinating service requests and maintenance work orders
  • Managing planned and reactive maintenance activities
  • Tracking work orders and ensuring KPI compliance
  • Coordinating contractor attendance and escalation of urgent requests
  • Maintaining maintenance records, reports, and compliance documentation
  • Assisting with contractor performance and compliance management
  • Supporting purchase order and invoice processing
  • Monitoring preventative maintenance schedules and outstanding works
  • Preparing reports and supporting client review meetings
  • Assisting with quality assurance processes and service delivery reporting

About You

To be successful, you will have:

  • 2-4 years' experience in facilities coordination, maintenance coordination, contract administration, property administration, or a similar role
  • Strong organisational and time management skills
  • Experience working with work order management or maintenance systems
  • Excellent communication and stakeholder management skills
  • Strong attention to detail and administrative capability
  • Intermediate Microsoft Office skills, particularly Outlook, Excel, and Word
  • Ability to manage competing priorities in a fast-paced environment
  • A proactive mindset and willingness to learn and develop
