Job Description Summary

Cushman & Wakefield is seeking a proactive and organized Facilities Coordinator to join our Integrated Facilities Management team on an approximately 14-month fixed-term contract. Supporting the Catholic Archdiocese of Melbourne account, you will help coordinate facilities services across a diverse portfolio that includes heritage buildings, places of worship, residential properties, commercial offices, education facilities, childcare centers and vacant land. Reporting to the Account Director and working closely with the Senior Facilities Manager, this role combines contractor coordination, maintenance support, stakeholder engagement and administration.

Job Description

Key responsibilities

  • Coordinate cleaning, gardening, hygiene and other facilities service providers.

  • Monitor contractor performance and conduct regular property inspections.

  • Respond to reactive maintenance requests and support planned maintenance activities.

  • Raise, monitor and close work orders through facilities management systems.

  • Obtain quotations and approvals for maintenance works.

  • Review contractor documentation, including risk assessments, SWMS and permits.

  • Check completed works and process invoices to ensure suppliers are paid promptly.

  • Maintain accurate property, maintenance and compliance records.

  • Assist with monthly client reporting and general account administration.

  • Liaise with client representatives, tenants, contractors and internal teams.

  • Identify operational risks and keep stakeholders informed of ongoing works.

About you

You will be organized, adaptable and comfortable balancing administration with hands-on facilities coordination. You will also be confident learning new systems and building strong stakeholder relationships.

You will ideally have:

  • Experience in facilities coordination, property administration, contractor management or a similar role.

  • Strong administration, organization and attention to detail.

  • The ability to learn new technology and internal systems quickly.

  • Confidence coordinating contractors and resolving service delivery issues.

  • Strong communication, stakeholder management and problem-solving skills.

  • Good knowledge of Microsoft Office.

  • An understanding of workplace health and safety, risk and compliance requirements.

  • A facilities management, building, engineering or related qualification or current study toward one would be highly regarded.

  • A current Working with Children Check, or the ability to obtain one.
