Job Description Summary

The Portfolio Lease Administration Transition Coordinator supports the successful onboarding and transition of lease administration services by coordinating project activities, facilitating lease data migration and abstraction processes, and ensuring operational readiness for service delivery. The role works closely with clients, internal teams, and third-party vendors to ensure the timely and accurate execution of transition deliverables while maintaining compliance with established processes, quality standards, and client requirements.

About the Role:

  • Coordinate and support Lease Administration transition projects, ensuring activities are completed in line with client requirements, project timelines, service levels, and company policies.
  • Manage the collection, organization, validation, and transfer of lease documents and property data, ensuring accuracy, completeness, and operational readiness.
  • Monitor lease abstraction progress, maintain issue and pending-item trackers, and collaborate with internal teams, clients, and third-party vendors to resolve outstanding items.
  • Support system and technology enablement activities, including database setup, testing, document repository management, workflow tools, and operational handover preparation.
  • Prepare project documentation, status reports, risk logs, process guides, and account-specific playbooks to facilitate knowledge transfer and successful transition to operational teams.

About You:

  • Bachelor's degree in Business Administration, Real Estate, Property Management, Finance, or a related field.
  • Minimum of 3+ years of experience in lease administration, real estate operations, project coordination, transition management, or a similar role.
  • Experience working with lease documentation, database management, data validation, document control, and process documentation within a corporate or shared services environment.
  • Strong project coordination, stakeholder management, and communication skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office applications (Excel, Word, PowerPoint), SharePoint, and workflow or property management systems; experience supporting system implementations or transition projects is preferred.
