Job Description
Reception & Administration
Greet visitors and assist with refreshments
Support onboarding and small internal events
Prepare signage, announcements, and digital materials
Kitchenettes & Break Areas
Refill and organize beverages, snacks, and breakfast items
Keep areas tidy and assist with vendor visits (e.g., Dallmayr, water refills)
Storage & Supplies
Monitor and organize storage areas and food supplies
Manage office inventory and supplier orders
Office & Facilities Maintenance
Maintain tidiness in office spaces and common areas
Report and follow up on maintenance issues
Accompany technicians and vendors when needed
Meeting Rooms
Prepare and check rooms daily
Manage bookings and ensure all equipment is functional
Mailroom & Couriers
Handle incoming and outgoing mail
Coordinate courier services and maintain records
Mobile Phones (Orange)
Manage distribution, setup, and returns of company phones and SIMs
Update inventory records and coordinate with EUS
Vendor Coordination
Liaise with SlovClean (cleaning services) and Dallmayr (coffee Services)
Personality requirements and skills
Experience in a similar role (receptionist, back office, office/facilities management)
Communicative English skills (spoken and written)
High school education or higher
Proficiency in MS Office, especially Excel
Reliability and a strong sense of responsibility
Organized, proactive, and service-oriented personality
