Senior Transaction Coordinator
Job Description Summary
We are seeking an individual to assist in managing a major real-estate account & lead team coordination for a top broker team in Toronto, Canada. The ideal candidate will have a strong understanding of real estate operations combined with a passion for coordinating and leveraging technology to drive efficiency and improve customer experiences.

Other Coordination Responsibilities
- Assist the team in coordinating the Canadian and global real estate account
- Consolidate and track all account activities (Negotiation summaries/RFP comparison matrixes, on-going transaction lists, etc.)
- Assist in preparing select presentations and reports detailing investment recommendations for senior managers, directors, and executives for decision making
- Build and maintain client relationship
- Coordinate with representatives from different service lines (brokers, team administration, strategic consulting groups, etc.) provided to Client under the Master Agreement
- Coordinate field broker selection process
- Assist with determining client needs and communicate and document project parameters
- Manage all C&W Technology resources for the Services (primarily Transactions Management) provided under the Master Agreement
- Oversee the delivery of technology solutions via C&W CoStar & Triana platforms including:
- Co-ordinate training for all team members
- Manage and monitor technology updates for real time reporting
- Manage quality control of data inputs
- Assist with the onboarding of new team members
- Track and report upcoming expirations and other critical dates, draft and process all requests for service or client initiation documents, and draft and process all Co-Broker and agent engagement letters
- Assist/support client in completing deal due diligence at the close of a transaction
- Draft and/or review transaction documents (Notices, LOI, Offers, Agreements of Purchase and Sale, etc.);
- Coordinate the collection of all transaction monies (i.e. commissions, funds in trust, etc.)
- Coordinate client site visits/market tours
- Keep record of and compile information for client activity reports and update ongoing transaction pipeline
- Perform general clerical tasks, including but not limited to data entering (Engage), photocopying, filing, telephone calls, archiving, organizing couriers, mailings, etc.
- Miscellaneous requests and special projects as required by the team
- Provide any other administrative tasks required by C&W to facilitate the transaction of C&W real estate business
Organize and prepare transaction documents i.e. confidentiality agreements, offers, listing agreements and other TRREB/MLS forms, closing documents, trade records, etc.
- Prepare research reports and charts using various sources (MLS, Realnet, Geowarehouse, Costar, etc.)
- Abstract agreements of purchase and sale and prepare proposals with direction from team
- Coordinate collection and submission of required documents for FINTRAC compliance from clients
REQUIREMENTS
- Must hold state real estate salesperson license
- 5+ years real estate experience in transaction management or corporate real estate
- Ability to read and understand commercial real estate transaction documents, such as a lease, purchase & sale agreement, sublease agreement, SNDA, estoppel, assignment agreement, etc.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $ 80,750.00 - $95,000.00
