Job Description Summary

The Facilities Maintenance Technician core focus is to support building management of a fully integrated facilities service to our client across hard & soft services, as well as energy management & project delivery. Working as part of a team you will provide the highest standards in customer service and operate within defined processes and procedures while reporting into the Facilities M&E Engineer. This position requires flexibility and ability to work additional hours on an ad hoc basis. Core working hours will be Monday to Friday 09:00 – 17:30.

Job Description

  • Supervise and coordinate the day-to-day maintenance and repairs of assets & associated equipment.
  • Be the point of contact for all M&E requirements on site and 3rd party service providers.
  • Maintain Facilities M&E PPM Schedule to meet regulation compliance. E.g., fire alarm, lighting, generator tests etc. and HVAC and any legal / statutory tasks are carried out by contracted vendors.
  • Oversees all 3rd Party contractors on all installations, scheduled maintenance visits, repairs including but not limited to all MEP, Landscaping, H&S and Fire Fighting equipment.
  • Maintain the certificate records for preventative maintenance works. Provide input at regular team meetings.
  • Weekly & Monthly reporting on all reactive and scheduled maintenance tasks completed, report findings and action any issues, using facilities management system – FM 360, Facilities Team Tracker, Drive Records, etc.
  • Maintain all copies of the service reports for both client and landlord alongside use of O&M Manuals.
  • Maintain and keep updated asset lists and As Built drawings.
  • Compile information necessary to ensure all site-specific documentation and reports are completed accurately and on time, including (and as applicable): Property Information Book, Site Operating Manual, Emergency Procedures Manual, Safety Meeting Log, Work Orders Logs, , Purchase Order Log, Vendor Certificates of Insurance, As-built Drawings, Paid Invoices File, General Files, Contract Files, Annual Property Conditions and Year- end Performance Report and other reports and documentation as required.
  • Perform general maintenance tasks including minor fabric maintenance, furniture repairs, general office repairs etc or contact 3rd party contractors for rectification within the timelines expected.
  • Perform routine inspections daily/monthly on general facilities to ensure office and equipment are operating at optimum level daily. Report findings and action on any issues.
  • Operate and maintain all facilities in good serviceable condition and in accordance with the planned maintenance program to maximize efficiency and minimize maintenance and energy costs.
  • Ensure all contractors adhere to the client’s policies and procedures whilst on site, including that all documentation is verified prior to acceptance of building entry i.e., method statements, permits to work H&S Policy, Insurance etc.
  • Strong housekeeping habits, storing and making sure all paperwork is complete and filed as needed.
  • Liaise with Security to ensure approval of access for all 3rd party contractors for the various locations within the building.
  • Participate in coordination of projects (e.g., renovations / office re-configurations)
  • Always ensure safe and effective working environment.
  • Escort necessary vendors when on site for work to be completed, always ensuring prompt response to call outs.
  • Support facilities team in managing costs for department, raising PO’s and processing invoices through our Yardi finance system.
  • Assist in co-ordination of furniture re-configuration throughout the building from meeting rooms to storeroom’s pre/post events. Manual handling at times may be required to complete furniture moves.
  • Provide input at regular team meetings.
  • Coordinate and be available for ad hoc after-hours and weekend maintenance / repair works as required.
