Job Description Summary

Job Description

Coordinate the operational management of the building, ensuring legal compliance, risk management, and a seamless occupier experience. You will oversee maintenance, health and safety, supplier relationships, and compliance, while ensuring that the building meets the highest standards of operational excellence.

Core Responsibilities:

  • Helpdesk & System Management: Oversee the operation of the CAFM system, ensuring the timely and accurate processing of work orders, updates, and delegation during absence.

  • Complaint & Occupier Management: Respond promptly to occupier complaints, resolving them quickly while keeping stakeholders informed. Regularly communicate with occupiers to ensure satisfaction and address any issues.

  • Compliance & Safety: Ensure the building remains legally compliant with all inspections and risk assessments completed on time. Oversee health and safety risk assessments (e.g., Asbestos, Fire) and ensure follow-up actions are managed appropriately.

  • Supplier & Service Management: Manage relationships with service partners, ensuring high standards of quality and safety. Conduct regular audits and oversee contract compliance.

  • Financial Management: Manage service charge budgets, raise purchase orders, and ensure accurate invoicing within the service charge framework. Ensure debt recovery and cost control.

  • Sustainability & Reporting: Maintain up-to-date records on sustainability platforms (e.g., BREEAM, GRESB) and ensure all required reporting is completed on time.

  • Quality Assurance & Leadership: Ensure the quality of services delivered aligns with Cushman & Wakefield standards. Proactively coach and mentor direct reports, ensuring performance standards are met.

Core Knowledge & Experience:

  • Proven experience in facilities management, including team leadership and supplier management
  • Strong understanding of compliance, health and safety, and financial management in a building management context
  • Proficient in CAFM systems (e.g., Meridian, E-Logbooks) and reporting tools
  • Strong IT skills (MS Word, Excel, PowerPoint, Outlook)

  • Solution-focused, with the ability to manage multiple priorities and problem-solve effectively
  • Strong communication skills, able to adapt to different audiences
  • Self-motivated and passionate about delivering excellent customer service
  • Strong leadership capabilities with a focus on team development and performance

Qualifications:

  • IWFM Level 4 (Certificate)
  • Health & Safety IOSH
  • Member of a professional body such as IWFM
  • AssocRICS
