Position Title: Office Assistant
Department: Office Management
Reports To: Executive Assistant of the CEO
Location: Brussels

Role Purpose:
As an Office Assistant, you will be in charge of all reception activities as well as getting involved in Office Administration and Health & Safety.

Key Responsibilities:

• You will be receiving visitors at the front desk by greeting, directing and announcing them appropriately.
• You will manage the reception desk phone and email inbox. You will transfer queries internally and take care of daily mail.
• You will ensure reception area is tidy and presentable with all necessary stationery and material.
• You will be an administrative support for our business : assist catering services, meeting room reservations/preparations, organizing office/kitchen supplies, organize printer/coffee machine maintenance.
• You will maintain office security and controlling access via the reception desk.
• You will do the follow-up of the invoices and creating purchase orders relating to the various services linked to the reception desk.
• You will be the contact person of the IT Helpdesk for Brussels related matters.
• You will be responsible for Office management and EHS related tasks, such as the yearly risk assessment, fire drill, maintenance of equipment, office safety audit and management of external EHS consultants.
• You will follow-up on EHS mandatory training according to local law, such as first aid training.
• You will provide administrative support for Certifications such as ISO 14001.
• You will update the ‘incident management and business continuity plan’ and the ‘crisis management plan’ on a yearly basis.

Knowledge & Experience:
• You have previous Office Assistant experience.
• A certification as Prevention Advisor is a plus.
• You have a good knowledge of MS Office and Outlook.
• You are perseverant, resilient, stress resistant and stay calm under pressure.
• You are a proactive and result oriented.
• You have excellent organizational skills, including the ability to multi-task and prioritize efficiently.
• You have good written and verbal communication skills in Dutch, French & English.
• You are happy to roll up your sleeves and help out when necessary.
• You have are customer service oriented.
