Working in a fast-paced team environment; managing the day to day processing of a high volume of accounts payable and ancillary legal documents as it pertains to the management of a retail/office portfolio in excess of 2.0 million square feet.Job Description
Primary Tasks and Responsibilities
- Review and verify invoicing;
- Review and verify Contracts and PO’s as they relate to invoices;
- Code invoices to appropriate accounts and forward to Property Manager for approval;
- Maintain record of invoices and ensure prompt payment of same;
- Complete all associated forms, relating to payables;
- Prepare monthly accruals and contract payment tracking;
- Communicate with vendors and operations personnel on outstanding invoices, payments and reconciliation of accounts.
- Preparation, distribution and administration of ancillary legal documents such as CCDC’s, service agreements, and agreements to perform work.
- Maintain workflow of Major Expenditure Authorization process including preparation of agreements, document tracking, uploading completed documents to SharePoint.
General Administrative Duties:
- Assist in preparation of day-to-day correspondence relating to building activities, as required;
- Assist other staff personnel with projects related to the management of the property;
- Ensure timely distribution of reports / forms as required by H.O. accounting department
- General filing, including organization of lease and tenant files.
- Other duties as assigned.
Skills and Experience Required:
- Post-secondary education required, with a focus in accounting.
- Prior experience in the Property Management or Real Estate field a definite asset.
- Minimum 5 years’ experience in an accounting / administrative role.
- Strong written and verbal communication skills along with excellent interpersonal skills.
- Highly organized.
- Must be self-motivated, ability to work both independently and in a team environment.
- Must have ability to multi-task and to continuously adjust priorities.
- Willingness to accept additional responsibilities, beyond specific duties, to assist management team.
- Enthusiastic and a willingness to learn.
- Experience with YARDI & Nexus is a definite asset along with proficiency in Microsoft Suite of Products – Word, Excel, Outlook.
