Job Description
We are seeking a highly organised and proactive Personal Assistant on a 12 month FTC to provide essential support to our flexible office team. The role involves managing invoicing functions, coordinating schedules, organising travel, and handling general administrative tasks. You will ensure the smooth running of day-to-day operations while providing efficient support to both internal teams and external stakeholders.
Responsibilities:
- Oversee the flexible office team invoicing function, including PTA data tracking in Excel, invoice processing, and compliance document filing
- Manage diaries for International Partners, coordinate Outlook, email responses, and meeting requests
- Arrange travel and hotel bookings for the CLOR team using the CWT system
- Coordinate and book meeting rooms, and prepare agendas for client and internal meetings
- Take minutes at meetings as required and assist in formatting documents, producing presentations, and proofreading
- Track signed terms with landlords and update the internal sales tracker system
- Handle expenses using the Workday system and assist with binding, scanning, photocopying, and other general administrative duties
- Update spreadsheets, lists, and schedules, and manage responses to client events, creating attendee lists as needed
Skills:
- Confidence in prioritising conflicting workloads across multiple stakeholders
- Self-motivated with proven experience working independently
- Excellent verbal and written communication skills
- Organised, with the ability to influence others to meet deadlines
- Ability to remain calm under pressure
Qualifications:
- Intermediate to advanced proficiency in Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook
- Typing speed of 60 words per minute or more
