Job Description Summary

We are a looking for an Administrative Assistant to join the Asset Services department in Lisbon. This position is a key support role that ensures the smooth operation of administrative and organizational tasks, enabling the team to focus on strategic decision-making and portfolio growth.

Job Description

Key Responsibilities:

  • Document management: Organizing, filing, and updating all relevant asset documentation.
  • Administrative support: Preparing periodic reports, presentations, and internal or external communications related to the assets.
  • Accounts Receivable management: Collaborating with the client finance teams to prepare the monthly invoicing schedule, overseeing invoice generation, managing accruals and handling collections.
  • Payment and invoicing control: Monitoring due dates, managing invoices, and coordinating with the finance department to ensure timely compliance.
  • Coordination with vendors and clients: Supporting relationships with property managers, tenants, and other stakeholders to address queries and requests.
  • Database maintenance: Updating and managing information in management systems (ERP, CRM, or others).
  • Support in specific projects: Collaborating on ad-hoc initiatives such as market analysis, creation of business proposals, audits, implementation of procedures, etc.

Profile requirements:

  • Academic background: Higher Level studies in Administration / Finance or equivalent qualification.
  • Previous experience: At least 1-2 years in administrative roles, preferably in real estate, finance, or consulting sectors.
  • IT skills: Proficiency in office tools (Excel, Word, PowerPoint) and experience with management systems like Yardi, or similar.
  • Languages: Native Portuguese, Advanced English / other languages is a plus.
  • Key competencies:
    • Strong organizational skills and attention to detail.
    • Proactivity and the ability to manage multiple tasks.
    • Excellent communication and teamwork skills.
    • Financial acumen
